A Distributor's Perspective

Whether you’re a small distributor with limited personnel just getting started or a fully equipped multi office organization, ZoomScope is your complete efficiency and organizational tool. The following content summarizes ZoomScope™ functions according to each employee job designation within a distributorship.

Administrator: This is the top position within a distributorship organization. It is standard for a distributorship to have one primary administrator who is responsible for assigning the various roles and access level within their internal operational network. The administrator’s role is to create the individual usernames, passwords and to assign available job roles for each employee. Job roles assigned will determine access levels to the various types of information stored in ZoomScope™. The administrator can assign multiple job designations and access levels to one employee or a single job designation and access level to multiple personnel. The administrator can access all levels, view all information and perform all actions within the ZoomScope™ system available to “distributor” class users and pertaining to their particular distributor account.

Purchasing Agent: Purchasing agents can submit product and parts orders to ZMC International. A purchasing agent can select required products, parts and quantities and submit completed orders to ZMC International for delivery and notification of delivery schedule(s). The purchasing agent also has control to modify the part minimums (PM’s) required for distributor inventories originally assigned by ZMC International.

Sales Manager: Sales managers can perform all actions specified for sales agent. In addition a sales manager also has access to view all information pertaining to the accounts held by sales agents under their supervision. Sales managers also have the authority to load and remove leads from the lead management system for use by sales associates.

Sales Agent I) Outbound Sales and Lead Generation: Sales agents can access and modify contact descriptions within the lead management system inside ZoomScope™. The lead management system stores new and previously contacted sales leads that have not yet been escalated to formal dealer accounts. This is the primary screen view to be used by sales agents during a lead generating operation. Agents will contact the customers on their view screens and report on contact status such as “no answer, disconnected number, call back, send dealer information package and make sale”. Agents can also add time stamped comments within each contact display. Agents can access the “pending mail outs” section to view and print the pre-formatted mailing labels that are created when an agent selects the “send dealer information package” option during the lead generation process.

Sales Agent II) Inbound Sales and Contact Management: Inbound sales agents can access and modify contact information within the customer relations management system inside ZoomScope™ such as contact names, addresses and lead status. The contact management system allows agents to enter new contacts and to modify existing contacts. Sales agents can insert time stamped comments for each contact and upgrade contact profiles to dealer status upon sale.

Receptionist: Receptionists can access and modify the customer relations management system within ZoomScope™. New inbound contacts can be added and existing contacts updated. Receptionists can enter time stamped comments for contacts and if necessary assign them to their respective departments or dealers for customer management.

Warehouse Manager: Warehouse managers can receive shipments from ZMC International and access pending shipments to their dealers within the ZoomScope™ shipment screen. During unloading of a shipment the warehouse manager can load purchase order(s) corresponding to a particular shipment and check off the products/parts as they are unloaded. They can mark the shipment as partially received or fully received and the respective inventories will be added into the distributors system. Warehouse managers can submit and modify outbound shipment features such as delivery dates and skid quantities and sizes. Warehouse managers can update shipment status such as “order prepared” and “order shipped”.

Warehouse Clerk: Warehouse clerks have all the same viewing privileges as warehouse managers. They can add time stamped comments to shipments but have no authority to modify shipment status or features.
